*Responsibilities:*
* Maintain complete records of all financial transactions of the school.
* Make bank deposits.
Record cash, credit card, and online payment receipts.
* Handle bank investments and cash transfers.
* Process accounting transactions, and monthly and fiscal year-end reports.
* Process payrolls, handling all withholding taxes, retirement funds, insurance, annuities, and other required withholdings.
* Prepare salary contracts and employee agreements.
* Onboarding of new employees, termination process for termed and retired employees.
* Process monthly, quarterly, and fiscal year-end payroll reports.
Process calendar year wage statements (W-2, W-3, 1099, 1096).
* Reconcile payroll and accounts payable checks and EFT’s with bank statements, and verify bank statement balances.
* Work with Director to prepare the school operating budget.
Prepare ISBE joint agreement budget; distribute when BOC approved.
* Maintain ISBE Employment Information System (EIS) data.
* Respond to employment verifications.
* Schedule annual audit, and respond to auditor requests.
Review Annual Financial Report (AFR); distribute when BOC approved.
Handle Annual Statement of Affairs (ASA).
* Handle employee retirement plan reporting requirements, for TRS and as the IMRF authorized agent.
NOTE - New IMRF Authorized Agents are required to complete an IMRF-provided training course within 3 months of appointment.
* Handle employee group insurance (health, life, dental, vision) payments and membership, including enrollments, changes, and cancellations.
Handle COBRA for retired or terminated employees, or those who have experienced a status change to part-time.
* Handle all other school insurance (liability, workers compensation).
* Set up and manage bonds for the Treasurer and Bookkeeper (Fiscal Services).
* Maintain records for employee Professional Growth including coursework credit hours and Enrichment and Training hours.
Monitor and move eligible employees across the CBA Salary Schedule.
Handle employee tuition reimbursements.
* Report new hires and terminations to the IL Department of Employment Security (IDES).
Respond to any inquiries from the IDES.
* Work with Director to apply for state and federal grants.
Request reimbursement of all spending by providing documentation.
* Apply to local and private grant sources for funding.
* Handle school E-rate funding.
* Handle real estate tax payments.
* Serve as Freedom of Information (FOIA) officer including completion of annual training.
* Maintain active Notary Public status, and provide notary services.
* Schedule, edit, and post web articles from each program.
Handle all other web postings/updates.
* Order drinking water for the school office.
* Maintain historic school scrapbooks and photos.
* General office help as needed.
