Administrative Assistant / BookkeeperResponsibilities:

Administrative Support:· Provide high-level administrative support to executives while maintaining strict confidentiality.
· Manage executives' calendars, schedule appointments, and coordinate meetings.
· Handle sensitive information with discretion and professionalism.

Bookkeeping:· Utilize QuickBooks to maintain accurate and up-to-date financial records as needed while assisting Business Manager.
3.
Financial Reporting:· Generate financial reports using QuickBooks and/or Microsoft Excel for review by executives.
· Assist in the preparation of budgets, forecasts, and financial analyses.
4.
Communication:· Facilitate communication between executives and internal/external clients, employees.
· Draft and edit professional emails, reports, and other written correspondence.
· Communicate with Field Technicians for paperwork as needed.
5.
Document Management:· Organize and maintain confidential documents, contracts, and financial records.
· Ensure proper filing systems are in place for easy retrieval.
· Review of field reports.
6.
Technology Proficiency:· Utilize Microsoft Office Suite (Word, Excel) for various administrative tasks.
· Sharepoint experience a plus.
Qualifications:
Proven experience as an administrative assistant and bookkeeper.
Proficiency in QuickBooks Desktop and Microsoft Office Suite.
Strong organizational and multitasking skills.
Exceptional attention to detail and accuracy.
Excellent written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information.
